Library Item Config

The Library Item Config displays the core details about your selected library item.

General

The top part of this pane displays the general information about the selected library item. This includes:

  • Model: The model name of the gear item.
  • Manufacturer: The manufacturer of the gear item.
    • Edit Manufacturer: Click this button to edit the manufacturer details of the current manufacturer, which includes:
      • Name: The name of the manufacturer.
      • Description: A description of the manufacturer, what they make, etc. (optional).
      • Location: The location of the manufacturer’s headquarters (optional).
    • Create Manufacturer: Click this button to create a new manufacturer for the current gear item. Uses the same fields above.
  • Brand: The brand under the manufacturer the gear item belongs too. You can also edit the brand details:
    • Edit Brand: Click this button to edit the brand details of the current brand, which includes:
      • Name: The name of the brand.
      • Description: A description of the brand, what they make, etc. (optional).
    • Create Brand: Click this button to create a new brand for the current manufacturer. Uses the same fields above.
  • Category: The category type of the gear item (Lighting Consoles, Speakers, Media Servers, etc.). You can change this to reclassify an item, which will create a new version when saved.

Reference

This section contains a field so you may add a URL reference to the gear item. Helpful for linking to the manufacturer’s website, a manual, or any other relevant information. This is accessible in the Adding Gear Dialog’s Reference button.

Info

This section contains read only fields that display the following information about the gear item:

  • Code: The unique code for the gear item. All items in GearConnect have a unique code to identify them.
  • Version: The version of the gear item. Every time you save a gear item, a new version is created. This allows you to make changes to gear items without affecting existing projects. For this reason, you will notice the Code also changes every time you save a gear item.
  • Last Updated: The date and time the gear item was last saved.

Archiving

When you no longer need a library item, brand, or manufacturer, you can archive it using the Archive button. Archived items are removed from the Library Browser which means you cannot add them to projects anymore. But they remain accessible to existing projects that were using them previously.

Archiving Library Items

Click the Archive button (archive icon) to archive the selected library item. This will:

  • Remove the item from the Library Browser
  • Prevent it from being added to new projects
  • Show a confirmation dialog before proceeding
  • Preserve access for existing gear in current projects

Archiving Brands and Manufacturers

When editing brands or manufacturers, you can also archive them via their Archive buttons. This will:

  • Archiving a Brand: Removes the brand and all its associated library items
  • Archiving a Manufacturer: Removes the manufacturer, all its brands, and all associated library items

Action Buttons

At the bottom of the pane, you’ll find action buttons:

  • Archive (archive icon): Archives the selected item
  • Copy to… (clone icon): Opens a menu to copy the item to another library (User or Team)
  • Copy (copy icon): Creates a copy of the item within the current library context
  • Save (floppy disk icon): Saves your changes to the current item

When selecting a default library item, the Archive, Copy, and Save buttons will be disabled since default library items are read-only.

Copying Library Items

You can copy library items between different libraries to customize and share gear. All copying creates independent duplicates - changes to the original won’t affect the copy and vice versa.

Copy To Another Library

To copy a library item to a different library:

  1. Open the Library Editor
  2. Navigate to the item you want to copy
  3. Click Copy to… (clone icon)
  4. Select your destination:
    • Copy to User Library - Creates a copy in your personal library
    • Copy to Team Name Library - Creates a copy in the selected team library (requires write access)
    • Copy to Default Library - Creates a copy in the default library (library managers only)

Notes:

  • The original item remains unchanged
  • If the manufacturer and brand exist in the target library, they are reused
    • If the manufacturer or brand do not exist in the target library, they are created
  • You cannot copy items to the default library unless you’re a library manager
  • Copying to team libraries requires write access (Owner, Admin, or Member role)
  • Guests and Billing Managers cannot copy items to team libraries
  • Any team member can copy team items to their user library (no special permissions required provided they have Pro access)

Common use cases:

  • Customize professional gear definitions from the default library
  • Share your custom gear definitions with team members
  • Create private variants of team items for experimentation
  • Standardize library items across your team

Copy Within Current Library

The Copy button (copy icon) creates a duplicate of the item within your current library context:

  • When viewing a user library item, it creates a copy in your user library
  • When viewing a team library item, it creates a copy in that team’s library
  • The manufacturer and brand are reused (not duplicated)
  • If the gear has expansion cards, they are removed from the copy
  • All port configurations are copied to the new gear item

You are then taken to the new gear item to continue editing.

Saving

When you save a library item, the following happens:

  • A new version of the gear item is created
  • Its version number is incremented to be the latest version
  • All ports and configurations are saved to the new version

The new version is selected and displayed as the active gear item. Only the most recent version of a gear item is displayed in the Library Browser Pane.
