Fixed Member Billing

Fixed member billing (also known as seat-based billing) is an alternative to flexible member billing that provides predictable, flat subscription charges. Instead of billing based on how long each member is active, you pay upfront for a fixed number of paid members on your team.

This model is ideal when you want consistent invoices each month or year and your team size is relatively stable.

How It Works

With fixed member billing:

  • You pay upfront monthly or yearly for a fixed number of paid members
  • You can freely add and remove members within that paid capacity
  • There are no proration charges or credits for changes within your cap
  • You are only charged extra when you exceed your prepaid member count

Flexible billing focuses on precise time-based charges; while fixed billing focuses on predictability within a chosen member capacity.

Fixed member billing is often referred to as “seat-based billing” because you are essentially purchasing a set number of “seats” for your team to fill as needed. Choose this option when you want to avoid fluctuating costs and prefer a straightforward billing approach.

Example

If you purchase fixed pricing for 10 paid members:

  • Throughout the month, you can:
    • Add members up to 10 with no additional charges
    • Remove members and add different ones
    • Change roles between non-paid and paid as needed
  • All within your 10-member capacity at no extra cost, charges, or new invoices

Your invoice stays the same as long as you remain at or below the 10 paid members you have purchased.

Fixed Guest Count

Because you get one guest member per paid member, fixed member billing can also simplify guest member management. If you have 10 paid members, you automatically get 10 guest members, even if you don’t have all 10 paid members filled at all times.

This can be beneficial if you expect to have more guest members than paid members at certain times, as you won’t need to worry about tracking guest member usage separately.

Exceeding Your Cap

If you exceed your prepaid capacity:

  • Adding an 11th paid member when you’ve paid for 10 triggers a prorated charge for 1 excess member
  • Excess charges work the same way as flexible billing (prorated by second)
  • Example: 11 members when you’ve paid for 10 = prorated charge for 1 excess member

If you decrease your paid member count later, you will be credited back up to the number of paid members you have purchased. For example, increasing to 11 members will increase you your invoice to 11 paid members. If you later reduce to 9 members, your invoice will be credited back to 10 paid members, since that is the fixed number you purchased.

This allows you to add more members as needed, but never lose access to the number of paid members you have purchased.

  2. Let us know your desired paid member count
  3. We’ll configure your subscription accordingly
  4. You can switch between flexible and fixed pricing models at any time by contacting support
